November Shire Minutes

Seneschal's Ideas:
Promote Shire by participating more in community ( parades, and local events, pass out event fliers at other SCA events close to dates of our events, post to other FB pages. Encourage persona and period camping more. Get Events to reflect more of a medieval fair then it has in recent years. Get events planed out to two years.
Compile and make available list of Shire Book library.
Promote AOA and shire award nominations.
Get assistance from shire to compile information on
Vendors: SCA related merchant contact Info. Both inside and out of the society.
Advertising avenues: News papers/letters, Parades, Demo locations, Radios, Other events both in and out of SCA, PUD Fliers, Chamber of Commerce (currently Zach smith is working on)
Venues Events and demos: Place, Price contact info. Rebecca has compiled a good list bu tneed more for jefferson county.
Fundraisers.
I would like to begin doing more A&S activities (Dance Brawls, Sewing Parties, Cooking experiments, Alchemy tests).
I would like to begin doing shire socials/Allthings in a rotation from forks, PA, PT. 
I would like to see events rotate locations going toward hood bridge.

Maypole, 3-5 of may
HSL In August instead of FF?
Feast or Famine In Febuary  15 2020
Halloween, 4-6 October
Demos: Farmers Market has asked for us back Karl.

PR events: Parades, trunk or treats, any other ideas were we can set up a stand to pass out Flyers and have a donations box

New Business:
-Working on switching shire site back to kingdom domain (free, no extra advertisements, John wants out from under.  No time frame yet, going through changes.
-Event: Talk to people in Port Townsend about witches ball joint event.  Happens sometime around Halloween.

-Paul recommended having fighter practices in the parks and throw up a pop up in tent

-Bylaws: Read and discussed (will be posted online)
-Shire awards and incentives: take home and read over and come up with names
-How to run a shire event: read over
-Gate procedures:
1. Donations go into locked box
2. Give receipt
3. Membership filled out by person sitting gate
4. If membership card not at gate, must pay non member fee.  If they come back with proof of membership than refund.
5. If no proof, need to sign waiver
6. At the end of each persons watch at gate, they are to take all full gate sheets from their watch and money that goes with the gate sheet. Fold sheets around money and put in envelope. Place sealed envelope in donation box.  All donations are to be counted with non officer witness. The amount logged on piece of paper and in envelope with funds. Event steward must give all proceeds to the exchequer ASAP.  Needs within 24 hours. Use watch sheet to get people signed up for gate.
-Marshal:
1. 4th of july parades (Forks and PA)
2. Irrigation Festival parade
3. Rhody Parade
-Make poles/frames for banners for parades.  Dragon on trailer, fighting demo's during stops in parade.

-Sequim farmers market wants us to do shakespear day.  Have rapier fighting and people walking around in garb.  Have Scrios play as well.
