Shire of Druim Doineann Minutes January 2019
Call to order:623pm
Attending: Kevin Franklin, Luke Groves, Becky , John Blackburn, Jerrod Ferns, Rebecca Ferns, Karl Ayers, Zach Smith
Review old minutes:  See previous month minutes, also discussed can't use paypal for anything but incoming $$.  Ask kingdom about escrow acct
Pull and ratify new officers:  Luke Groves nominated for taking over marshall next month. 
Check with officers:
Marshall: Once Karl steps down, we can still hold practices here.  Luke wants to “contract” with Karl so it doesn't go on homeowners insurance for injuries.
Harold: working on new submission with Karyn.  No one can wear shire badge except for Harold, Kevin Franklin has been working on this with Kevin Watson.  Zach asked, why don't we get standard changed to badge?  Kevin will talk with the other An Tir Heralds to see what we can do.  Zach asked Kevin if he wanted a local herald booth at events, Kevin said just a table.
Exchequer: see financial statements attached.
Locations & Event Stewards:
Maypole: Zach Smith as Kevin Watson stepped down.  Zach will work with Kevin Franklin for site map.
Hot Summer Lights: Trying to get black powder range back, or wapiti bowman.  Joe Watson is working on helping us get the site for this, if no steward by next month we will have to cancel this event.  Luke wants to put ????
Masquerade Ball: Rebecca Ferns Steward
Feast or Famine Feb 15, 2020: Luke Groves
Dates for practices and demos (look at last meeting for months wanting these events)
Starting 1/24/19 we will starting doing practices at Karl's every other week at 4pm
Karl will talk to college and see if they will do a medieval day in June.
Victorian Days attendance??
In March not May Possible $$ for attendance

Events and activities
Fees set at Camping $15 members $20 non member.  Day trip $7 member $12 non member
Vendors for this entire year at all events, no vendor fee.  Charging camping fee or day trip fee only.
Food vendors to be asked to vendor at this event and DOES NOT NEED TO BE PERIOD.

Need info on when activites will be scheduled from marshall (shooting range, tournaments, heavy fighting, light fighting)
Incentive awards implemented at event
-volunteer hours
-when asked for help and not have to be told
-end of event will have grab box
Zach and Rebecca have started contacting vendors
Promoting events via radio, newspapers, posters, going to businesses that are associated with garb and weapons.
Meetings will change to the second saturday of the month after this month.
Fundaiser coming up February 9
Zach baking something
Kevin Franklin baking Banburry cakes and apple cakes
Becky baking tarts of some sort
Rebecca baking thumbprint cookies, bread, and lemon poppyseed scones
NEED SIGNAGE!!!!  Farmers market sandwich boards possibly from Karl, also has trifold poster board to make displays of what we do.
Awards for order of precedence will be working on submitting by Zach. 
Joffre award for service by people within shire
Oddessa award for service by people outside of shire
Hurricane award for Most volunteered hours
Golden peacock award for Personal presentation
Obscurum for bardic best performance
The Illustratio for Arts and Sciences

March Minutes

Meeting began At 6:30pm Maypole: Need Marshals Need People for gate Need work crew Currently at 10 vendors entering event Tavern Confirmed Next Sunday 3/17/2019 do Shire Trailer Prep - need people who know how the big pavilion sets up. Taking Cordial invites to Barons Flyers for posting getting printed end of Month Wednesday folder flyers printed 2 weeks before event Event handouts printed by 2 weeks before event Money: Checking - 825.90 Savings - 2616.99 Maypole will cost 700 Birdhouses 150 Not enough to cover charges in checking account as we still need to reimburse a couple people. Reimbursements - about 193.75 total of about 1043.75 HSL: Kit has been doing a lot of work on it and it is coming together. Sit is the fairgrounds this year and will be secured after Maypole when there is more money in the account.
